Administrative Policy NOTIFICATION OF STUDENTS ON WAITING LIST January, 2006 Rev. April 18, 2008 _______________________________________________________________________________________
As openings occur throughout the year, the school contacts by phone call the next family whose child is on the waiting list. This is done immediately upon declaration of a vacant seat.
A phone call is made to each phone number that the parent lists on the application until contact is made. If no contact is made, then voice mails are left at each telephone number which has such an option.
Administration shall communicate to the family in the personal phone contact or message left that the student/parent has 24 hours (from the time of the phone call) to contact school administration to accept or decline the available space.
Administration notates the time, date and contact information to validate the offer of the position.
Should a parent whose child has been offered the vacant position NOT contact the school within the recorded 24 hour time limit, the student will be placed at the end of the waiting list for that grade level. Administration will immediately continue with the notification process to the parent of the next student on the waiting list (please read the section Notification of students on waiting list who are unavailable by phone during the summer months).
Should a parent of a student on the waiting list who is contacted be unavailable due to a vacation or other such activity which requires the parent to be ‘out of town’ for such contact, it becomes the responsibility of the parent of the student to have provided the Administration with an alternate phone contact number. An email address is NOT acceptable.
If a family does not respond to the phone call(s), with in the required 24 hour period a letter will be mailed immediately notifying the family that the Administration had attempted contact; and that the student had forfeited the available position. By policy the Administration shall not wait beyond the 24 hour period.
Should a parent of the student who has been offered the vacant position accept the slot a Student and Family/Reservation Contract will be mailed to the family. The form must be signed, dated and returned to the office by the date listed on the form. Once the parent of the student who is offered the vacant position accepts, the student must be enrolled at TCMS within 48 hours or the seat will be declared vacant and the parent of the next student on the waiting list will be immediately notified.
Notification of students on waiting list who are unavailable by phone during the summer months
If the parents of a child who is on the waiting list and have contacted the school to notify us that they will be on vacation during the summer months and will not have telephone access due to the location of their travel, they may send a letter to the Director of Student and Personnel Services with the following information:
that the letter serves as their acceptance of the available space for their child.
The Director of Student and Personnel Services will staple the letter to the application and will attempt to make contact by phone. In the event the phone call is not returned within 24 hours, and knowing that the family has notified the school in writing that they wish to accept the space, the letter will suffice.
After 24 hours, the Director of Student and Personnel Services will then mail the Student and Family Agreement to the family and direct them to return it to the school upon their return. It is also the responsibility of the parent to download all documents required for the 2008-2009 school year from the website and return them to the school.
Policy on replacing students during the school year: In order to ensure that all students who enter TCMS through the lottery system receive the appropriate time necessary for a successful transition into the school’s academic and learning environment structures, a student will be admitted only at the beginning of each quarter, exclusive of the 4th quarter and no later than the Friday immediately prior to the week of the third state survey period for FTE (funding purposes) which occurs in February. There shall be no exceptions to this rule.
There will be no exceptions to this policy.
